We are looking for an experienced Export Customer Service Representative to perform these key functions at our Macon, GA location. Position Summary:This position will interact with customers to implement/process order requests from export customers. Responsible for facilitating the customer's order from origination of shipment to invoice. Receive and process quotes and order fulfillment documentation for customers. Achieve and maintain the highest level of customer service at all times. Essential Functions:

  • Receive and confirm customer orders via phone, fax or e-mail
  • Schedule orders with applicable shipping date, based on availability of product
  • Process customer orders in Enterprise Resource Planning (ERP) system
  • Interface with customers to clarify any issues that may arise
  • Generate invoices and credits; update the ERP system with corrected information
  • Reschedule past due shipments; reconfirm new order schedule with customer
  • Book vessel space and manage changes per customer's delivery requests in accordance with policy
  • Ensure accuracy of export documents by 3rd party freight forwarder
  • Communicate shipping dates and special customer needs
  • Maintain electronic records
  • Maintain customer communication in Customer Relationship Management (CRM) system; provide key customer information to sales
    • Coordinate requests for Certificate of Analysis
      • Provide profit calculations for approval by sales manager
      • Issue final sales quotations to customers
      • Prepare customs invoice and international documentation
      • Initiate a corrective action request related to customer complaints
      • Respond to inquiries regarding products and services
      • Assist account managers with rolling forecast and miscellaneous sales-related issues
      • Work with Operations to ensure orders are scheduled per production schedule and capacity
      • Make recommendations to revise policies and standard operating procedures
      • Other duties and projects as assignedJob Requirements and Skill Sets:1. Minimum high school diploma2. 3 years of experience in Customer Service or similar position.3. Familiarity with most recent lncoterms4. Knowledge most recent Export documents.5. Excellent verbal and written communication skills.6. Multi-task oriented; ability to work in a fast-paced environment7. Must be proactive and have a sense of urgency8. Independent decision-making skills; work with minimal supervision9. Excellent computer skills required: experience with Microsoft Office applications.10. Exceptional organizational and planning skills Working Conditions:Work is performed in a general office environment. Able to sit, stand, walk, bend and stoop. Able to lift, pull, push and carry up to 25 lbs. Manual dexterity required for operation of a computer keyboard. Vision and a sense of hearing are also required.
